When Should You Send Wedding Invitations?

Sent too early, an invitation is forgotten; sent too late, your guest cannot arrange their schedule. The right timing is not a single number — it shifts with the type of event and with how far your guests are travelling.

The rule of thumb: one month, but not for everyone

For a guest who lives in the same city and will drive half an hour to the venue, a month ahead is comfortably enough. The only thing they need to arrange is that day's schedule.

For guests travelling from another city the equation changes: travel, accommodation and often a day off work. This group needs the invitation much earlier — otherwise the answer you get is "I could not make it" for reasons of timing, not reluctance.

If you are expecting guests from abroad, flight prices enter the picture too. Telling them early — even with a short message before the invitation itself — is a real kindness here.

Timing by type of event

Not every invitation asks for the same preparation. A rough frame:

  • Wedding — about a month for local guests; earlier for out-of-town and international ones.
  • Civil ceremony — held with a small circle, so two weeks is usually enough.
  • Engagement — two weeks; the guest list is normally close family and friends.
  • Henna night — tied to the wedding calendar if announced in the same invitation, otherwise two weeks.
  • Birthday and baby shower — one to two weeks; with these, speed matters more than notice.

The reminder: the step that lifts response rates most

Sending at the right time is half the job. A reminder sent about a week before the event, to guests who have not answered, raises the response rate noticeably.

With a digital invitation this step is easy: you resend the same link. Because you can see who has already answered, you also know exactly who needs the reminder.

When should you close the guest list?

Closing the list a few days before the date you owe the venue a final headcount leaves room for the last answers to arrive. People who skip that margin usually end up making confirmation calls on the last day.

With printed invitations this process is entirely manual. Digitally, answers land in the list as they come, so the final number is already in your hands.
