How to Prepare a Corporate Event Invitation

There is one thing that separates a corporate invitation from a private one: the headcount is not a curiosity, it is a budget line. Because the venue, the catering and the seating all depend on that number, the real job of the invitation is not to inform but to collect answers.

The wording

Corporate invitation copy should be short and answer four questions on the first screen: what, when, where, and from whom. If the company name and the type of event do not appear in the heading, the invitation is not recognised in the inbox.

Ornate language does not work here. Your guest is reading this during working hours, on a phone, in a few seconds. If there is a programme, listing it as bullet points works noticeably better than burying it in a paragraph.

Timing

Two to three weeks ahead is a common balance for corporate invitations: early enough to catch the diary before it fills, not so early that it is forgotten.

Sending a reminder makes a clear difference to attendance. A short note two or three days before the event stops the invitation from being lost after the first send.

Tracking RSVPs

Collecting answers by email is the most time-consuming method in corporate invitations: replies arrive in different formats, someone forgets to answer, and the list is kept by hand.

A one-tap RSVP form inside the invitation ends that work. Answers gather in a single list, you can see who is coming at a glance, and the venue and catering plan can be updated as the number moves.

If guests may bring a colleague or a partner, ask that as a separate question on the form; otherwise the final number is still a guess.

Brand presentation

In a corporate invitation the job of the design is not to stand out but to represent the organisation. A few practical points:

  • Stay with the company colours — the invitation should look like it belongs with your other communications.
  • Mark the location on a map — most attendees are visiting the venue for the first time.
  • State the parking and entrance details — these are the two most frequently asked questions.
  • Share it as a single link — invitations sent as attachments do not get opened.
